# Contact activity timeline

Each contact has an **Activity** tab: one timeline of everything that happened with that person, newest first. Calls, emails and SMS show up on their own. Your team adds notes and tasks. Open it from **Contacts**: pick a contact, and the **Activity** tab is the first one.

## What shows up

| Item | What you see |
|---|---|
| **Calls** | Inbound, outbound and missed calls, with the AI summary, the agent that handled it, who on the team was on it, its length, the recording and the call results. Click a call to open the transcript and recording. |
| **Emails** | Emails to and from the contact. For emails sent through Voice Logica you also see whether the contact **opened** it and which links they clicked. |
| **SMS** | Every SMS sent to or received from the contact: the text, the **sender ID** it went out under, and **who sent it** (see [below](#who-sent-each-sms)). |
| **Notes** | Your team's notes, with attached files. Notes are internal: the contact never sees them. Pin an important note to keep it at the top. |
| **Tasks** | Callbacks, calls, meetings, reminders and to-dos linked to the contact, with due time and assignee. **View call** opens the call a task came from. See [Tasks](https://docs.voicelogica.ai/tasks/). |
| **Records** | Custom records saved on the contact, such as customer instructions. A call or an email can be saved as a record with **Save as record**. |
| **Ask AI** | Questions someone asked Claude or ChatGPT about this contact, and the answers (see [Ask AI](#ask-ai-about-a-contact)). |

Calls and SMS are matched by the contact's phone numbers too, so a call from a number that was added to the contact later still shows up.

Use the chips above the list (**All**, **Calls**, **Emails**, **Notes**, **Tasks**, **SMS**, **Records**) to show one kind only, and **Search activity** (or press **/**) to find a word in summaries, emails, notes and SMS. Older items load with **Load earlier activity**. A run of short calls without a summary is folded into one line ("5 short calls, no summary") that opens with one click.

## Who sent each SMS

Under the text of each SMS you sent, two tags say where it came from:

- **Sender ID**: the name or number the contact saw as the sender, e.g. *Sender ID: MyShop*. Without a default SMS sender for the company, SMS go out as **VoiceLogica**.
- **Who sent it**:

| Tag | Sent by |
|---|---|
| **AI agent: *name*** | The agent, during or right after a call, e.g. with the **Send SMS** tool or the SMS after the call results. **View call** opens that call. |
| **Campaign: *name*** | An outbound campaign: a stage's follow-up SMS or the message when a lead runs out of calls. |
| **Workflow: *name*** | A workflow's **Send Text Message** node. |
| **Team member: *name*** | Someone on your team, from the contact's **SMS** button or from Claude or ChatGPT on their behalf. |
| **Automatic** | An automatic message, such as an appointment reminder. |

A failed SMS shows the reason in red, e.g. a blocked destination or no SMS balance left. Failed SMS are not charged.

Sender IDs and the company default are managed in **Telephony - SMS senders**. The agent's **Send SMS** tool ([Tools & Workflows](https://docs.voicelogica.ai/agent-configuration/built-in-tools/)) and the workflow's [Send Text Message](https://docs.voicelogica.ai/workflow-nodes/sms/) node can each pick one.

## Where things stand

At the top of the tab, **Where things stand** is an AI summary of the contact's 30 most recent items of every kind: what happened, key points, the mood, and a **Suggested next step**. It refreshes on its own when something new happens. The refresh button makes a new one now.

Next to it: **Calls logged**, **Avg call**, **Talk time** and **Last interaction**, counted over the activity loaded below.

## Add a note or a task

1. Under the summary, choose **Note** or **Task**.
2. **Note**: type it, attach files if needed, and press **Ctrl+Enter**. It is visible to your team only.
3. **Task**: type what needs doing, pick the due date (**Today**, **Tomorrow**, **Next week**) and who it is for, and press **Enter**. It also shows on **Tasks**.

## Send an SMS from the contact

1. Open the contact and click **SMS**.
2. **From**: pick one of your verified sender IDs or your own mobile number (once confirmed with the SMS code).
3. Type the message. One SMS covers up to 160 characters; a longer message is charged as 2, 3 or more SMS and still arrives as one message.
4. **Send SMS**. It shows on the timeline at once, with *Team member: your name*.

## Ask AI about a contact

**Ask AI** on the contact opens Claude or ChatGPT (with the [Voice Logica connector](https://docs.voicelogica.ai/integrations/claude-chatgpt/)) on a chat about this contact. The assistant reads the timeline and answers. The question and the answer are saved on the timeline as an **Ask AI** item, so the rest of the team sees what was asked.

You can also ask straight from Claude or ChatGPT:

- *"What happened with Maria Papadopoulou lately?"*
- *"Which SMS did we send to +30 694 123 4567, and who sent them?"*
- *"Did the agent send Nikos the sign-up link during yesterday's call?"*
- *"Summarise the last three calls with Eleni and what she still needs from us."*

The assistant uses `search_contact_activity`. Each SMS comes back with the text, the number, the sender ID and who sent it (the agent and the call, the campaign, the workflow or the team member).

## Company records

When the company pipeline is on, a company record (**Companies**) has the same timeline for all of its contacts together, plus stage changes (**Stages**). Each row says which contact it is about.

## Troubleshooting

**An SMS was sent but is not on the contact's timeline. Why?**

The SMS went to a number that is not on this contact. The timeline matches SMS by the contact and by its phone numbers, so add that number to the contact (or open the contact that has it). An SMS to a team member, e.g. a notification after a call, usually shows on that number's contact, not on the caller's.

**Why does the SMS say Sender ID: VoiceLogica?**

The company has no default SMS sender, so the platform default was used. Register your own sender ID and set it as the default under **Telephony - SMS senders**, or pick it on the agent's **Send SMS** tool.

**An older campaign or workflow SMS says Automatic or names the agent.**

Older campaign and workflow SMS were recorded without the campaign or workflow, so they show **Automatic** or the agent that ran the workflow. SMS sent since this was added name the campaign or workflow.

**The summary does not mention the latest call.**

The call is added once its analysis is done, usually within a minute of the call ending. Click the refresh button on **Where things stand** to make a new summary.
