# Send email from your own address

Emails that Voice Logica sends for you (from an AI agent during a call, a workflow, a campaign, or Claude / ChatGPT through the MCP) go out from **a mailbox you connect**. Recipients see your address and their replies reach your inbox.

## Without a mailbox

If no mailbox is connected, emails go out from **no-reply@voicelogica.ai**. Replies go to the email of the person who sent it (the user's Voice Logica login). When this happens, Claude or ChatGPT tells you so and offers to connect your mailbox.

Connect a mailbox before you send to clients or prospects: an email from your own address looks like it comes from your business and is less likely to end up in spam.

## Connect from the app

1. Go to **Emails → Mailboxes → Add mailbox**.
2. Choose the type:
   - **Gmail**: any Gmail or Google Workspace account. Sign in with Google and accept every permission.
   - **Outlook**: Microsoft 365, Outlook.com or Hotmail. Sign in with Microsoft. It works with two-step sign-in (MFA).
   - **Custom**: any other provider (your hosting company, Zoho, a business email server) over IMAP and SMTP.
3. The mailbox appears in the list. Under **Users**, choose who on the team can send from it.

## Connect from Claude or ChatGPT

Ask, for example: *"Connect my Gmail so the emails go out from my address."* or *"Connect my mailbox info@mycompany.gr."*

- **Gmail or Outlook**: you get a sign-in link. Open it, sign in with the account you want to send from and accept. Back in the chat, ask *"is my mailbox connected?"* to confirm.
- **Any other provider**: give the server details from your provider's email settings page. The login is tested first and the mailbox is saved only if it works.

| Detail | Usually |
|---|---|
| Server (host) | `mail.yourcompany.gr` or the one your provider gives |
| Username | Your full email address |
| Password | The mailbox password, or an **app password** if your provider requires one |
| IMAP port | 993 (SSL) |
| SMTP port | 465 (SSL) or 587 (STARTTLS) |

After that, every email from the chat goes out from that mailbox. With several mailboxes, say which one to send from.

For developers, the MCP actions are `messages_query` → `list_mailboxes` and `messages_execute` → `connect_mailbox` (`type`: `gmail`, `outlook` or `custom`) and `send_email`. `list_mailboxes` shows the mailboxes assigned to you. Admins and account managers see every mailbox of the company, each marked `assigned`: any of them can be set as the mailbox of a workflow **Send Email** node, while `send_email` only sends from the ones assigned to you.

## Common problems

- **"Invalid mailbox credentials"**: check the server and ports. Gmail and Outlook accounts must use their own type, not Custom. Many providers need an app password instead of the normal one.
- **"Multiple mailboxes are connected"**: say which mailbox to send from, or ask to list your mailboxes.
- **"You are not authorized to send from this mailbox"**: the mailbox belongs to a colleague. Ask an admin to add you under **Emails → Mailboxes → edit → Users**.
