For AI assistants: this page as plain markdown is at https://docs.voicelogica.ai/raw/getting-started/team-members.md, and https://docs.voicelogica.ai/llms.txt lists the docs by topic, one file each, small enough to read whole. Read those rather than this HTML page.
Team members and limited access
Ce contenu n’est pas encore disponible dans votre langue.
Not everyone on your team needs the full workspace. A support agent, for example, may only need their own AI assistant and their own meetings. You control this per member from one page, by setting what each area of the product they can reach.
A member you give limited access keeps their own tools but never sees your company setup. This is useful for support agents, assistants and any staff who should work with Voice Logica without being able to change how the company is configured.
Where to set it
Section titled “Where to set it”Open Team and access from the Account group in the sidebar, then select the Members tab. The same page also has API Keys, Pending invitations and Access Requests.
Each member has an access matrix - one row per area (agents, calls, contacts, billing, integrations, logs, team and access, and so on), each set to None, View or Edit. To make a member limited, leave the areas they should not touch set to None. The ones that decide the limited experience are:
- Integrations - leave at None to hide your channel accounts (WhatsApp, Instagram, Messenger), catalogue and CRM settings.
- Logs - leave at None to remove the Logs entry.
- Team and access - leave at None so they do not see the Members page.
Changes apply on the member’s next request. There is no separate “limited” switch - a member is limited simply because these areas are left off.
You can never give a member more than you hold yourself. An account manager working in a client company can give at most what their own access grant to that company includes - for example, making someone an admin needs Team and access at Manage in the grant. Asking for more returns an error that names the areas, and nothing is saved.
The company owner, the member who signs in with the company’s email address, always has Team and access at Manage, whatever their own row says. They can always open Members and API Keys and fix anyone’s access, so the company can never lock itself out.
When you invite someone or open a member, the Role list fills the whole matrix in one click. You can still change single rows afterwards; the role then shows as Custom.
- Admin - everything, including adding teammates and choosing what each person can see.
- Manager - same as Admin, but cannot add teammates or change what others can see.
- Customer Support Manager - sees and manages the calls and tasks of every member, but cannot open or change the agents or the company settings. Typical for a department head who follows the work of technicians or support staff.
- Customer Support Agent - their own calls, tasks and contacts only.
- Accountant - billing and invoices only.
- Custom - you set each area yourself.
A Customer Support Manager gets: Calls at all calls, with place and transfer (no bulk calls, no deleting calls); Tasks at Edit for the whole team; Resources at View for the whole team; Contacts at Edit; Dashboard at View. Everything else, including Agents, stays at None.
What a limited member can do
Section titled “What a limited member can do”Even with Integrations set to None, every member still reaches the Integrations page for their own tools:
-
Their own AI assistant
They can connect their own AI assistant (Claude, ChatGPT and others) to the workspace. The assistant can only do what that member is allowed to do in Voice Logica.
-
Their own Google Calendar and Google Meet
They can sign in with their own Google account for Calendar and Meet. They always act with their own account, never the company default, and connecting it never makes them the company default.
Everything else on the Integrations page - channel accounts and the catalogue - stays hidden.
What a limited member cannot do
Section titled “What a limited member cannot do”- No company setup menus: channel accounts (WhatsApp, Instagram, Messenger), catalogue and CRM settings do not appear.
- No Logs entry.
- No Members page, so they cannot see or change other members.
The one exception is a member who belongs to more than one company. They still see the Members page, but only their own row, so they can open Mobile settings and choose which company the phone app uses.
When to use it
Section titled “When to use it”Give limited access to staff who should use the assistant and their own meetings but must not change how the company runs - typically support agents and assistants. For a teammate who needs to manage agents, calls or billing, set those areas to View or Edit instead, and keep Team and access off unless they should manage other members.
Removing a member
Section titled “Removing a member”Only company admins (Team and access at Manage) can remove members. Open Team and access, select the Members tab, open the member’s row menu and choose Remove. A member who is an admin themselves must first have their access lowered.
Before anything is deleted, a confirmation shows what this member has in the company: their open tasks, their user endpoints (their extension and each phone where they use the mobile app), their phone number and their email. Nothing changes until you press Delete user.
What happens depends on whether the person also belongs to other companies:
- Only this company - the user is deleted completely. Their user endpoints are deleted, and their phone number and email are released, so they can be used for another user straight away. This is how you pass a company mobile on to the next employee.
- Other companies too - only their access to this company goes, together with their user endpoints here. Their account and their access to the other companies stay.
Either way, the company’s data stays:
- Open tasks stay in the company. In the confirmation, pick a teammate to take them over, or leave the field empty to keep them unassigned.
- Calls, contacts, activities and completed tasks stay too, and keep showing the person’s name.
If you remove the workspace admin, you become the workspace admin. If the company’s Google Workspace connection runs on this person’s Google account, the confirmation says so: it stops until an admin connects another account.
If the same person signs up again later, or you invite them back (even into the same company) with the same email or phone number, they start as a brand-new user. Nothing from the deleted user is linked to the new one: no endpoints, tasks or settings come back.
With your AI assistant
Section titled “With your AI assistant”Ask, for example, “Remove Petros from the company and give his open tasks to Maria.” The assistant first shows you the same summary (open tasks, user endpoints, phone, email, and whether the user will be deleted completely) and removes the member only after you confirm.
For developers: the tools are team_execute with action remove_member, or execute_user_action with action remove_user. Call them without confirm to get the preview, then again with confirm: true. reassignTasksToUserId picks the teammate who gets the open tasks.
Leaving a company
Section titled “Leaving a company”Any member can leave a company they belong to, as long as they also belong to another one. Open the company switcher at the top of the sidebar while you are in that company and choose Leave with the company’s name.
The confirmation shows the same facts as removing a member: your open tasks, your user endpoints in this company (your extension and the phones where you use the mobile app there) and the company you continue in. Nothing changes until you press Leave company. Your account, your phone number, your email and your other companies stay as they are; calls, contacts and activities stay in the company.
Leaving is not possible yet when:
- It is your only company. Delete your account from your profile instead.
- You are the only member. The company would be left without anyone: invite someone first, or delete the company.
- You are the workspace admin and no other member is an admin. Give another member Team and access at Manage first. When there is exactly one other admin, they take over automatically; with several, you choose who takes over in the confirmation. You can never hand the company over to yourself.
When you leave the company you are working in, you are switched to the company shown in the confirmation. Your open tasks stay in the company: pick a teammate to take them over, or leave the field empty to keep them unassigned.
With your AI assistant
Section titled “With your AI assistant”Ask, for example, “Take me out of Alpha Ltd.” The assistant shows you what changes and leaves the company only after you confirm.
For developers: team_execute with action leave_company. Pass companyId or companyName (without them it is the current company), call it first without confirm for the preview, then again with confirm: true. When you are the workspace admin and there are several other admins, pass newWorkspaceAdminUserId from the preview’s adminCandidates. The web app uses GET /api/v1/users/me/leave-company-preview?companyId=… and POST /api/v1/users/me/leave-company.
Reseller: staff for some clients only
Section titled “Reseller: staff for some clients only”A reseller can let an employee set up and support only the client companies it picks, without access to the reseller account, its credits or the clients’ plans.
- In your reseller workspace, invite the employee with Reseller control and Billing off. They then can’t see your client list, credits or plans.
- Edit the member, open Advanced and pick their clients under Client companies. Only people with Reseller control at Edit or Manage see this list.
- The employee switches between those clients from the company switcher. In each one they can work on agents, campaigns, calls, contacts and phones; they can see billing but not change the plan, and they can’t manage that client’s team. A company switch applies to every open tab: the other tabs move to the new company on their own, with the same «Switched to …» message.
To take a client away, remove it from Client companies and save; the clear button removes them all. Removing the employee from your reseller team also removes every client you gave them, and the confirmation says how many. Disabling them in your reseller team locks those clients too, until you enable them again. A membership the client itself invited the person to is not touched.
With your AI assistant: “Give Nikos access only to Alpha Ltd and Beta SA.” For developers: query_user_action with action get_user_client_companies, then execute_user_action with action set_user_client_companies and the full list of companyIds (clients left out are removed).
Reseller: the client’s administrator
Section titled “Reseller: the client’s administrator”When you create a client company (Reseller control, account manager or admin), the Email you type becomes the client’s administrator.
- In Create company, type the email of the person at the client who will manage the account, and keep Invite this email as the company administrator ticked.
- They get an email to set a password and then sign in as the company’s administrator: they can invite their own team, edit agents and see their calls. If that email already has a Voice Logica account, the company is added to it right away.
- You keep your own access to the client from the company switcher.
Untick the box when the email is only a contact address (for example info@), or when you will invite the administrator later from Team. Placeholder addresses such as test@test.gr and your own email are never invited.
With your AI assistant: “Create the client Alpha Ltd with email nikos@alpha.gr.” For developers: create_company invites the email unless inviteOwner is false, and returns ownerInvite with what happened.
Troubleshooting
Section titled “Troubleshooting”A member says the Integrations page is almost empty
That is expected when their Integrations area is None. They still see their own AI assistant and their own Google Calendar and Meet; the company’s channel accounts and catalogue are hidden by design. Set Integrations to View or Edit if they need the company accounts.
A member cannot open the Members page
Set their Team and access area to View or Edit. A member who belongs to several companies always sees their own row on that page, so they can pick the company the phone app uses in Mobile settings.
A new employee gets a former colleague's company mobile. Can they use the same number?
Yes. Remove the former colleague first. If this was their only company, their phone number and email are released, and you can invite the new employee with the same number. If the former colleague still belongs to another company, their account keeps the number: change it on their account there, or ask that company to remove them.
